Order & Shipping — AC Spare Parts
from Dubai to Kenya
Everything a Kenyan buyer needs to know about ordering AC compressors, refrigerant gas, copper pipe and spare parts from Al Faisal Dubai — how to order, how shipping works, what documents you receive, and how to clear at Mombasa port.
For most Kenyan buyers, the first Dubai import order is the one that takes the most thought. The questions are practical: how do I send you my order? How do you ship it? What documents do I need for Mombasa? How long does it take? What does it cost to land at Mombasa?
This page answers all of these questions directly. The process is more straightforward than most first-time Kenyan importers expect — and established Kenyan buyers who import monthly find it becomes a routine operation that their clearing agent handles efficiently on arrival at Mombasa. Here is the full picture.
How to Place Your Order
Step 1 — WhatsApp Your List
Send your product list to +971 55 874 7919. Include compressor model numbers, refrigerant gas types and cylinder quantities, copper pipe sizes and lengths, spare part numbers or brand/model references, and HVAC tools if needed. The more detail you provide, the more accurate the quote. First-time buyers who are not sure of exact part numbers can describe the AC brand, model and fault — we advise on the correct parts.
Step 2 — Receive Your Quote
We return a consolidated quote within 24 hours — all product lines priced in USD, Jebel Ali to Mombasa LCL freight estimate, and DG documentation cost for refrigerant gas if included. The quote shows you the total FOB Dubai cost and the freight estimate so you can calculate your approximate landed cost at Mombasa before committing. No payment is required at the quote stage.
Step 3 — Confirm and Pay
Once you confirm the order, we send a proforma invoice with our bank details for payment by telegraphic transfer (TT). Payment is made in USD or AED. Once payment is confirmed and received, we proceed to packing and booking. For established Kenyan accounts with a track record of regular orders, payment arrangements can be discussed — WhatsApp us to discuss your situation.
Step 4 — Packing and Shipment Booking
We pack your order within 3–5 working days of payment confirmation, prepare all shipping documents — commercial invoice, packing list, DG declaration for gas, certificate of origin — and book the LCL slot in the next available Jebel Ali to Mombasa vessel. We notify you when the shipment is booked and provide the vessel name and estimated departure date.
Sea Freight — Jebel Ali to Mombasa
Sea freight LCL (Less than Container Load) from Jebel Ali to Mombasa is the primary shipping route for Kenyan HVAC importers. LCL means your cargo shares a container with other shippers’ goods — you pay only for the space your cargo occupies, not the full container. This makes LCL practical for mixed loads of any size, from a single pallet to several cubic metres.
Transit time
10–16 days Jebel Ali to Mombasa, depending on vessel schedule and whether the service is direct or via transshipment at a regional hub. We use established LCL consolidators with regular Kenya-bound sailings.
What consolidates together
Compressors, refrigerant gas (DG Class 2), copper pipe, spare parts and HVAC tools all ship in the same LCL container. DG cargo is segregated correctly within the container — Al Faisal handles this requirement on our side. One container, one document set, one Mombasa clearance process.
Freight cost structure
LCL freight is charged by weight (kg) or volume (CBM) — whichever is greater. Compressors and gas cylinders are weight-rated; copper pipe is volume-rated. A consolidated mixed order spreads the fixed minimum freight charge across more product, improving the per-unit freight cost. We include a freight estimate in every quote.
Refrigerant gas — DG Class 2
R22, R410A and R134a are DG Class 2.2 (non-flammable gas). R32 is DG Class 2.1 (flammable gas). Both ship by sea freight in LCL without restriction. Al Faisal prepares the DG declaration, MSDS for each gas type, and all required UN number documentation. Refrigerant gas cannot ship by air freight under IATA regulations.
Air Freight — Dubai to Nairobi for Urgent Parts
For urgent requirements — a specific PCB board, a compressor for a commercial repair that cannot wait, spare parts needed to complete a time-sensitive job — air freight from Dubai International Airport to Jomo Kenyatta International Airport in Nairobi delivers in 48–72 hours.
What can ship by air
Compressors, spare parts (PCBs, fan motors, capacitors), HVAC tools and copper pipe all ship by air as general cargo. Refrigerant gas cylinders cannot ship by air under IATA regulations — gas must always move by sea freight.
Transit time
48–72 hours Dubai to Nairobi. Add 1–2 days for packing in Dubai after payment confirmation, and 1–2 days for Kenya customs clearance at JKIA. Total door-to-door typically 4–6 working days.
Cost
Air freight is priced per kilogram — significantly more expensive than sea freight per kg, but practical for small, high-value or time-critical parts where the speed justifies the cost. We quote air freight alongside the sea freight option so you can choose based on urgency.
Split shipments
When an urgent compressor is needed immediately but gas is also on the order, we split the shipment — compressor by air to Nairobi immediately, gas and remaining goods by the next LCL sea freight consolidation to Mombasa. One order, two shipment legs, both documented and tracked separately.
Shipping Documents for Mombasa Port Clearance
Al Faisal provides a complete document set for every Kenya sea freight shipment — everything your Mombasa clearing agent needs for KRA clearance. Understanding what each document is helps you verify the set is complete before the shipment arrives.
| Document | What It Is | Required For |
|---|---|---|
| Bill of Lading (BL) | The shipping contract between shipper and carrier — the title document for the cargo | Port release of cargo at Mombasa |
| Commercial Invoice | Al Faisal’s invoice showing product descriptions, quantities and values in USD | KRA import duty calculation |
| Packing List | Detailed list of every item in the shipment with weights and dimensions | Customs verification at Mombasa |
| Certificate of Origin | Confirms goods originate from UAE — may affect applicable duty rates | KRA import processing |
| DG Declaration | Dangerous goods documentation for refrigerant gas — required for DG cargo | Port handling of gas cylinders |
| MSDS (Material Safety Data Sheets) | Safety data sheets for each refrigerant type in the shipment | DG cargo compliance at Mombasa |
💡 Engage a Mombasa clearing agent before your first shipment arrives
First-time Kenyan importers who have not used a licensed clearing agent before should arrange one before the shipment departs Dubai. A Mombasa-based clearing agent receives your shipping documents, lodges the customs declaration with KRA, pays any applicable import duty on your behalf, and releases the cargo for transport to Nairobi or your delivery address. For Kenyan buyers already importing regularly, your existing clearing agent handles Al Faisal shipments exactly as they handle any other Dubai import.
Payment & Minimum Orders
Payment method
Bank transfer (TT — telegraphic transfer) in USD or AED. We provide our bank details with the proforma invoice. Payment is typically made before packing and shipping. Cash is accepted for buyers visiting our Dubai shop in person.
Minimum order
No fixed minimum order value. The practical consideration is freight economics — very small orders carry a disproportionate freight cost as a percentage of product value. Most Kenyan buyers find orders of USD 2,000–3,000 and above in product value are where the Dubai import economics become clearly favourable versus Nairobi local pricing.
Order frequency
Monthly or bi-monthly consolidated orders work best for most Kenyan buyers — enough product volume per shipment to optimise freight cost, frequent enough to maintain adequate stock levels in Nairobi. Larger distributors order more frequently; smaller workshops may order quarterly.
Currency
All Al Faisal invoices are in USD. The USD/KES exchange rate at the time of payment affects the KES cost of your order — Kenyan buyers who time larger orders during favourable exchange rate periods reduce their effective landed cost in KES.

Frequently Asked Questions
How do I find a licensed Mombasa clearing agent?
Licensed customs clearing agents in Kenya are registered with the Kenya Revenue Authority and the Kenya International Freight and Warehousing Association (KIFWA). Searching for clearing agents in Mombasa through KIFWA’s member directory is a reliable starting point. Other Kenyan importers in your network who import from Dubai regularly can recommend clearing agents they have used successfully. A good clearing agent knows the DG handling procedures at Mombasa port and handles refrigerant gas shipments as a routine matter. We are happy to share the names of clearing agents that other Kenyan buyers have worked with successfully — WhatsApp us and ask.
What import duty does Kenya charge on AC compressors and refrigerant gas?
Kenya’s import duty rates are set under the East African Community (EAC) Common External Tariff and are applied to the CIF (cost + insurance + freight) value of the goods. AC compressors fall under HS code 8414.30 and refrigerant gases under Chapter 29. The applicable duty rates are subject to Kenya’s annual budget process and the EAC tariff review schedule — confirm the current applicable rate for your specific goods with your Mombasa clearing agent before finalising your landed cost calculation. VAT at 16% is also applicable on most goods. Your clearing agent calculates duty and VAT on arrival based on the commercial invoice CIF value.
How long does the complete process take from WhatsApp order to goods in Nairobi?
Working from the day of your WhatsApp enquiry: 1 day for the consolidated quote, 1–2 days for your confirmation and payment, 3–5 days for packing and vessel booking in Dubai, 10–16 days sea transit Jebel Ali to Mombasa, 3–7 days for Mombasa port clearance and inland transport to Nairobi. Total typically 3–5 weeks from first enquiry to goods in Nairobi. For planning purposes, Kenyan buyers who want goods in Nairobi by a specific date should place their enquiry at least 6 weeks before that date to allow for all stages. For urgent requirements, air freight compresses the Dubai-to-Nairobi leg to 4–6 days total.
Can I track my shipment from Dubai to Mombasa?
Yes. Once your shipment is booked with the LCL consolidator, we send you the booking confirmation including the vessel name and voyage number. Most major carriers serving the Jebel Ali-Mombasa route have online tracking that allows you to monitor the vessel position and estimated arrival date at Mombasa. Your Mombasa clearing agent will also confirm arrival notification from the shipping line once the vessel docks and the manifest is available for customs lodgement.
