The Complete Ordering Process — Step by Step

1

Prepare Your Parts List

Before contacting Al Faisal, prepare a clear and complete parts list. The more detail you provide, the faster and more accurately we can quote. Here is what to include for each item:

For Compressors

AC brand and model number · HP / BTU rating · Refrigerant type (R22 / R32 / R410a / R404a) · Indoor or outdoor unit · Photo of nameplate if available

For Refrigerants

Refrigerant type (R22 / R32 / R410a / R134a etc.) · Quantity in cylinders · Cylinder size if preferred (e.g. 13.6kg or 11.3kg)

For Capacitors

µF rating (e.g. 35µF+5µF dual) · Voltage rating (e.g. 450V) · Quantity

For Copper Pipe

Diameter (1/4″ / 3/8″ / 1/2″ / 5/8″) · Length (15m or 30m rolls) · Quantity of rolls

For PCB Boards & Fan Motors

AC brand · Full model number of the unit · Indoor or outdoor unit · Part number if visible on old board · Quantity

For All Other Parts

Product name · Brand if applicable · Specification or rating · Quantity · Any photos of the old part if relevant

A photo of the outdoor unit nameplate is the single most useful thing you can send for any compressor enquiry. It eliminates model number errors and ordering mistakes entirely.

2

Send Your Enquiry to Al Faisal

Send your parts list to Al Faisal through any of the following channels. WhatsApp is the fastest option — most Nigerian customers send their list directly as a WhatsApp message or document and receive a first response within a few hours during business hours.

3

Receive Your Pro Forma Invoice & Review

Once Al Faisal confirms stock availability, we issue a full Pro Forma Invoice within 24–48 hours. This document is your formal quotation and contains everything you need to review before confirming your order:

  • Itemised list of all products with brand, model number, specification, and quantity
  • Unit price in USD and total order value
  • Total estimated weight and volume of the shipment
  • Freight options — sea freight (LCL) and air freight — with estimated transit times and costs
  • Al Faisal company details and UAE trade licence number for your records

⚠️ Before confirming: Verify every item matches your parts list. Confirm refrigerant brand is Westron® or Maxron®. Confirm all compressors show T3 tropical climate rating. If anything is unclear — ask before paying. Al Faisal will answer every question fully before you commit.

4

Make Payment

Al Faisal accepts payment by bank transfer (T/T — Telegraphic Transfer) in USD to our UAE bank account. Full payment is required before packing and freight booking for export orders.

Payment Currency

USD (United States Dollars) — invoiced in USD, paid in USD via bank transfer to Al Faisal’s UAE account. Your Nigerian bank converts NGN to USD at the prevailing rate.

Payment Method

Bank transfer / T/T (Telegraphic Transfer) to Al Faisal’s UAE commercial bank account. Full bank details provided on the Pro Forma Invoice.

Payment Timing

Full payment before packing. Once payment confirms in Al Faisal’s account, packing begins within 1–2 working days and freight is booked immediately.

Bank Transfer Time

International bank transfers from Nigeria to UAE typically clear in 1–3 working days. Confirm your transfer reference number to Al Faisal immediately after sending to speed up processing.

5

Packing, Export Documentation & Freight Booking

Once payment is confirmed, Al Faisal packs your order and prepares all required export documentation. All documents are provided to you digitally as soon as they are ready:

Commercial Invoice

Full itemised invoice showing product descriptions, unit prices, total value, seller and buyer details — required for Nigerian customs declaration. Prepared on Al Faisal company letterhead with UAE trade licence reference.

Packing List

Itemised list of every package in the shipment — contents, weight, and dimensions per carton or pallet. Required by the shipping line, the Nigerian port authority, and your clearing agent.

Certificate of Origin

UAE-issued certificate confirming the origin of goods — required for Nigerian customs clearance. Al Faisal arranges this through the Dubai Chamber of Commerce on your behalf.

Bill of Lading / Airway Bill

The master shipping document issued by the freight carrier — sea freight produces a Bill of Lading (B/L), air freight produces an Airway Bill (AWB). Your clearing agent uses this to collect your goods from the port or airport.

MSDS — Refrigerants & Hazardous Goods

Material Safety Data Sheets for refrigerant cylinders and any hazardous goods. Required for sea freight IMDG compliance and air freight IATA DGR compliance. Al Faisal handles all hazardous goods classification and documentation.

6

Shipment in Transit — Tracking & Communication

Once your shipment departs Dubai, Al Faisal provides you with all tracking information — vessel name and voyage number for sea freight, or AWB tracking number for air freight. You will receive all shipping documents digitally so your Nigerian clearing agent can begin the pre-arrival customs process before the shipment lands.

Sea Freight Tracking

Vessel name, voyage number, and Bill of Lading number provided. ETA at Apapa or Onne Port confirmed. Transit time: 10–16 days from Jebel Ali, Dubai.

Air Freight Tracking

Airway Bill number provided for online tracking. Flight details and ETA at Lagos (LOS) or Abuja (ABV) confirmed. Transit time: 3–5 days from Dubai.

7

Nigerian Customs Clearance

Nigerian customs clearance is handled by your licensed clearing agent at the arrival port or airport. Al Faisal provides all the documentation your agent needs. Here is what your agent will use:

Key HS Codes — HVAC Spare Parts

Compressors: 8414.30
Refrigerants: 2903.xx
Copper pipe: 7411.10
Capacitors: 8532.xx
PCB boards: 8537.xx
Fan motors: 8501.xx

Certifications Required

Standard HVAC spare parts — compressors, capacitors, copper pipe, fan motors, remote controls, tools — do not require NAFDAC or SON certification for import into Nigeria. Refrigerants require standard MSDS documentation which Al Faisal provides.

Recommended Ports

Sea freight: Apapa Port or Tin Can Island (Lagos) · Onne Port (Rivers State / Port Harcourt)
Air freight: Murtala Muhammed Airport (Lagos) · Nnamdi Azikiwe Airport (Abuja)

If you do not yet have a licensed clearing agent in Nigeria, contact Al Faisal — we can refer you to agents our Nigerian customers have worked with successfully at Apapa and Onne ports.

8

Receive, Inspect & Build Your Stock

Once your shipment is cleared and delivered, inspect all items against the packing list before signing off with your clearing agent or logistics partner. Specifically:

  • Check compressor data plate model numbers match your order exactly
  • Verify refrigerant cylinder brand labels — Westron® or Maxron® — and confirm cylinder weights
  • Count capacitor quantities and verify µF ratings match your order
  • Check copper coil roll diameters and lengths
  • Report any discrepancy to Al Faisal immediately with photos before moving goods

Most Nigerian dealers who import from Al Faisal settle into a quarterly sea freight restocking cycle — one consolidated bulk order every three months for core stock items, supplemented by air freight for urgent individual parts between cycles. This pattern gives you the lowest per-unit cost on bulk items while maintaining the flexibility to handle emergency jobs quickly.

Sea Freight vs Air Freight to Nigeria — Which to Choose

Sea Freight — Best for Bulk Orders

Route: Jebel Ali, Dubai → Apapa / Tin Can Island (Lagos) or Onne Port (Rivers State)
Transit time: 10–16 days
Cost: Most cost-effective per kg — ideal for bulk orders

Best for:

  • Quarterly restocking orders
  • Multiple compressors in a single shipment
  • Bulk refrigerant cylinder orders (pallet quantities)
  • Copper coil rolls, capacitor cartons, bracket cases
  • Any order where weight and volume justify the freight cost
  • LCL (Less than Container Load) for medium orders · FCL (Full Container) for large importers

Air Freight — Best for Urgent Single Parts

Route: Dubai International Airport → Lagos (LOS) or Abuja (ABV)
Transit time: 3–5 days
Cost: 5–8× more expensive per kg than sea freight

Best for:

  • Single urgent compressor where a commercial system is down
  • Priority PCB board for a critical customer repair
  • Emergency refrigerant cylinder between sea freight cycles
  • High-value, low-weight parts where downtime cost exceeds air freight cost
  • Any situation where waiting 10–16 days for sea freight is not viable

⚠️ Never send a bulk order by air freight. A pallet of refrigerant cylinders or ten compressors sent by air freight will cost 5–8× more in freight than the same shipment by sea. Air freight is for single urgent parts only. If you find yourself regularly paying air freight for bulk items, it is a signal to establish a quarterly sea freight restocking cycle so urgent air freight becomes the exception, not the rule.

Frequently Asked Questions — Ordering & Shipping to Nigeria

What is the minimum order quantity?

There is no fixed minimum order quantity. We supply single urgent compressors by air freight and full container loads by sea freight. For sea freight, a minimum order value that justifies LCL freight costs is practical — typically a consolidated mixed order from ₦500,000 equivalent upwards. Contact us to discuss your specific requirements and we will advise on the most cost-effective approach.

How long does a complete order cycle take from enquiry to delivery in Nigeria?

A complete sea freight cycle — from first enquiry to goods in your hands in Nigeria — typically takes 18–25 days: 1–2 days for quotation, 1–3 days for payment clearance, 2–4 days for packing and freight booking, 10–16 days sea transit, and 2–5 days for customs clearance and local delivery in Nigeria. Air freight compresses this to 8–12 days total. For customers who plan their imports in advance, the process is smooth and predictable.

Can I mix different product types in one shipment?

Yes — and this is one of the key advantages of sourcing from Al Faisal. You can combine compressors, refrigerant cylinders, copper coils, capacitors, fan motors, PCB boards, remote controls, brackets, tools, and lubricants in a single shipment. One freight booking, one commercial invoice, one customs clearance. Consolidated ordering significantly reduces your per-unit freight cost compared to placing multiple separate orders.

Do I need a customs agent in Nigeria?

Yes — we strongly recommend using a licensed Nigerian customs clearing agent at your port or airport of arrival. Al Faisal provides all required export documentation (commercial invoice, packing list, certificate of origin, bill of lading or airway bill) and your clearing agent processes the Nigerian customs declaration from there. If you need a referral to a trusted clearing agent at Apapa or Onne port, contact Al Faisal and we will assist.

What happens if an item I ordered is out of stock?

Al Faisal checks stock availability before issuing a Pro Forma Invoice. If a specific item is temporarily out of stock, we will inform you at the quotation stage — not after payment — and advise on lead time for restocking or recommend an equivalent alternative. We do not confirm orders for items we cannot fulfil.
